The following questions are most frequently asked by our customers – before they decide on a DMS.
A Document Management System (DMS) is software for the digital capture, management, archiving, and audit-proof provision of business documents. It is used to digitize paper documents, track document versions, automatically comply with legal retention periods, and link documents directly to business processes.
Audit-proof archiving means that documents are stored in an unalterable, complete, traceable, and retrievable manner at all times. In Germany and Austria, this is legally mandatory for tax-relevant documents according to GoBD (Principles for the proper keeping and storage of books, records, and documents in electronic form and for data access). The fabular DMS automatically meets these requirements.
A DMS (Document Management System) focuses on the management, storage, and archiving of documents. An ECM (Enterprise Content Management) goes further: it controls entire business processes, workflows, and information flows across departments. In fabular, both modules are integrated and complement each other. For many companies, starting with DMS makes sense before adding ECM workflows.
The DMS module is an integral part of the fabular platform and is therefore integrated with the ERP system. The full added value comes from directly linking documents with ERP data records such as orders, batches, and suppliers. Standalone use is not intended – but it is flexibly scalable within a fabular project.
The implementation of the DMS module in fabular is typically part of the overall ERP project and takes between 4 and 8 weeks for the DMS module itself, depending on company size and document volume. The initial structuring of document storage and the definition of access rights are crucial – fab4minds actively supports this process.
Yes. The fabular DMS supports GDPR-compliant data storage through role-based access rights, automatic deletion periods, complete logging of all document access, and the option for data storage on your own servers (on-premises). Data processing agreements (DPAs) are available upon request.
